| Shrink and rename a full set of subject and comp photos in one pass, drop your canned market conditions comments in with a hotkey, and merge the workfile into one PDF. | | You know the drill. The AMC order hits your inbox at 4:47 on a Friday with a three-day turn time and a fee that hasn’t moved in years. You accept it anyway. (Of course you do.) The inspection is the easy part. Then you get back to the office and the real work starts. Sixty photos off your phone named IMG_2231.jpg. Comp photos in three different sizes. The same neighborhood description, scope of work and market conditions comments you’ve typed a hundred times. Then the revision request comes back: “Please comment on why comp 3 is 0.8 miles from the subject.” None of that is appraising. It’s busywork, and when you’re paid per report, every hour of it comes straight out of your pocket. Sound familiar? ❓ Here’s the thing: TOTAL, ACI and ClickFORMS aren’t the problem. It’s all the little stuff you do around your forms software, by hand, over and over. That’s exactly the kind of work a computer should be doing for you. So below are the tools I’d hand any appraiser, most helpful first. Some run on your Windows PC, some run right in your browser. None of them need you to learn anything techy. Click Learn more on any one for the full rundown. Now on with the show… 😃 | | Subject and Comp Photos: Report-Ready in One Pass 📸 | Your phone shoots huge files. Your report wants them smaller and named so you can tell the front elevation from the half bath. Here’s how to get there without touching each photo one at a time. | | Tool | What it does for you | Image Size Reducer Learn more → Browser version → | Point it at the whole inspection folder and every photo shrinks to the size you pick. It never enlarges anything and your originals stay safe for the workfile. Smaller photos, lighter report PDF when it’s time to deliver. | Bulk Rename Try it → Windows version → | Turn IMG_2231.jpg into 1428-Elm-01.jpg, 1428-Elm-02.jpg and so on, in order, for the whole folder. You see every new name BEFORE anything changes. Works for comp photos too: Comp1-Front, Comp2-Front, Comp3-Front. | ClipShare Try it → | Move photos and notes from your phone to your PC without emailing them to yourself. It’s encrypted on your device, so the server never sees what you send. Handy for that one water heater photo you forgot to pull off your phone. | Image Converter Learn more → | Borrower emailed you photos of the new roof in some odd format your software won’t take? Drag, drop, done. Converts between 13 image formats right on your PC, no sketchy upload sites. |
| | Tip: Run Image Size Reducer first, then Bulk Rename. Two steps and the whole inspection is ready for your photo addendum. Same naming on every assignment, so your workfiles all look the same if a reviewer or the state board ever comes asking. 😊 |
| | Addenda Comments and Revision Replies: Type Them Once ✍️ | Neighborhood description. Scope of work. Market conditions. Your standard certification language. You’ve typed these so many times your fingers do it in their sleep. Let your PC do it instead. | | Tool | What it does for you | Prompt Assistant Learn more → | Keep your whole library of canned comments in folders: scope of work, extraordinary assumptions, 1004MC commentary, why you went over a mile for comps, your standard reply to an ROV. Pick one from a menu or type a short trigger and it pastes into TOTAL, ACI, Word or Outlook. You still tailor it to the assignment; you just stop retyping the other 90%. | SimpleTextSender Learn more → | A lighter option: a small menu of your most-used snippets on one hotkey. License number and expiration, your E and O line, your standard “subject to” repair wording. Click and it’s in. | Clipboard History Learn more → | Copy the APN, the legal description, the loan number and the borrower’s name once, then paste any of them later from your clipboard history. It even remembers which window you copied from. Great when you’re bouncing between the order, the tax card and your forms. | AutoSuggester Learn more → | Suggests words as you type, based on what you type most. Subdivision names, street names, builders, that county name you always misspell. Start typing, pick the suggestion, move on. | Spell Check Everywhere Learn more → AutoCorrect version → | Spell check that works in every Windows program, not just Word. Because “the subject is in average conditon” doesn’t look great in front of an underwriter. 😅 |
| | Tip: Set up your Prompt Assistant folders the way a report flows: Neighborhood, Site, Improvements, Sales Comparison, Reconciliation, Revisions. When the next stip comes back, your best answer from last time is two clicks away. ⚡ |
| | Data Entry: Tax Cards, MLS Sheets and Public Records 🖥️ | Half of every report is reading something on one screen and typing it into another. These make that part a lot less painful. | | Tool | What it does for you | Window Snipping Tool Learn more → | Snip the county tax card or the MLS sheet and it floats on top of your forms software while you fill in the grid. Another hotkey reads the text right out of the image (OCR), so you can copy a parcel number instead of squinting at it. | OCR with AI Learn more → | For the harder stuff: a scanned plat, a builder’s spec sheet, a blurry old permit. It uses AI to pull the text out so you can copy it instead of retyping. (Always check the numbers against the source before they go in a report.) | Always on Top Learn more → | One hotkey pins any window above the rest. Keep the MLS listing or your sketch in view while you work the adjustment grid underneath it. | Toggle Between Monitors Learn more → | Running two or three monitors? Send the window you’re in to the other screen with a hotkey instead of dragging it across. | Active Toggler Learn more → | MLS, public records, flood maps, aerials and the AMC portal all open in separate browser windows? Cycle through every window of a program with one hotkey, or start it if it isn’t running. |
| | Workfiles, Old Reports and Due Dates 📁 | USPAP says keep the workfile. The AMC says it’s due Thursday. These help with both. | | Tool | What it does for you | PDF Merger Learn more → | Drag in the engagement letter, the MLS printouts, the public record, the sales contract, your invoice and the signed report, put them in order, and get ONE PDF for the workfile. Easy to find later, easy to hand over if anyone asks. | SearchOnConcept Learn more → | Ask plain-English questions of your own PDFs and it jumps to the exact page. “Which of my old reports had a pond adjustment?” or “Where does the selling guide talk about ADUs?” It runs on your own machine and indexes your own files. | Smart File Search Learn more → Smart File Renamer → | Point it at a messy Downloads folder and describe what you want: “everything for the Maple Street order.” AI checks off the matching files so you can grab them all at once. The Smart File Renamer version does the same pick, then helps you rename them. | XP File Search Learn more → | Fast, old-school file search that doesn’t wait on the Windows indexer. It even searches inside ZIP files, which is handy when old workfiles are zipped up on an external drive. | RemindMe Learn more → | One hotkey, type “revision due on the Jones 1004,” pick a time, done. It pops up on your screen or emails you, even if your PC is off. Nice for inspection appointments and portal due dates. | Checklist Learn more → | Your pre-delivery checklist, on screen: license attached, signature dated, photos labeled, comps on the location map, invoice sent. Check them off before you hit submit and quit getting stips for the same thing twice. | Quick File Backup Learn more → | Pick your report and workfile folders and the file types you care about, and it copies them to a backup location. A dead laptop the week before a deadline is a bad week. Losing years of workfiles is a worse one. | Auto Increment Learn more → | Give it a name template and it saves files with the next number on the end: Jones-Revision-1, Jones-Revision-2. Goodbye “final-FINAL-v3.pdf”. | Dynamic Folder Shortcut Learn more → | If you file orders by year and month, this keeps a shortcut pointed at the current month’s folder, so “this month’s orders” is always one click away. |
| One thing I’ve learned: you don’t need to automate your whole practice this week. Pick ONE thing on this list that bugs you on every single assignment. Fix that. Then pick the next one. When you’re paid per report, every hour of admin you get back is an hour for the next order (or an hour you’re not working on Saturday). That’s the real FREEDOM. How about you? What’s the one piece of report admin you’d love to never do by hand again? Drop me a note and tell me. I read every one. | | See All Our Tools | | the-Automator.com • Windows automation tools that give you your time back |
