| Merge a borrower’s pile of bank statement PDFs into one file, OCR a pay stub straight to your clipboard, and send your standard condition requests without retyping them. | | You know the drill. The LO sends over a “hot” file at 4:45 on a Friday. The borrower uploads 37 phone pictures of their bank statements, one page each, half of them sideways. And the lock expires in nine days. Then the real work starts. Rename every upload so underwriting can find it. Stack them in order. Key the pay stub numbers into the 1003. Type the same “please provide a signed LOE for the large deposit on…” email for the fifth time this week. None of that is processing. It’s busywork, and it’s eating the hours you need to chase VOEs, clear conditions and get the file to CTC. Sound familiar? ❓ Here’s the thing: Encompass (or whatever LOS you’re on) isn’t the problem. It’s all the little stuff you do around it, by hand, over and over. That’s exactly the kind of work a computer should be doing for you. So below are the tools I’d hand any processor, most helpful first. Some run on your Windows PC, some run right in your browser. None of them need you to learn anything techy. Click Learn more on any one for the full rundown. Now on with the show… 😃 | | Borrower Docs: Named, Stacked and Findable 📂 | Borrowers send what they send. Here’s how to turn a mess of uploads into a file the underwriter can actually follow. | | Tool | What it does for you | PDF Merger Learn more → | Borrower sent twelve bank statement pages as twelve separate PDFs? Drag them in, put them in order, and get ONE PDF per account. Same for the pay stubs, the W-2s and the gift letter packet. (It works with PDFtk, a separate program you install once.) | Multi-Rename Script Learn more → Simpler version → | Turn scan0001.pdf through scan0037.pdf into Garcia_BankStmt_01.pdf, Garcia_BankStmt_02.pdf and so on, for the whole folder at once. No more right-click, Rename, 37 times. | Smart File Renamer Learn more → | Downloads folder full of every borrower you’ve touched this month? Type “only the Garcia pay stubs” in plain English and it checks off the matching files so you can rename or move them together. | XP File Search Learn more → | Searches file names AND the text inside files, even on shared network drives the Windows indexer skips, and even inside ZIP files. Find last year’s condo questionnaire or your LOE template without waiting on Windows search. |
| | Tip: Rename first, then merge. Once the files have real names, the merge order is obvious, so every stack you hand to UW follows the same stacking order. 😊 |
| | Keying the 1003: Less Retyping ⌨️ | Every number you retype is a chance to fat-finger income or a loan amount. These cut the retyping. | | Tool | What it does for you | Window Snipping Tool Learn more → | Pay stub open on your other monitor? Hold a hotkey, drag a box around the YTD figures, and OCR pulls out the text so you can paste it into the LOS. You can also float a snip on top of your screen while you type, like a sticky note for the numbers you’re keying. | Clipboard History Learn more → | Copy the loan number, the employer’s name, the HR contact’s phone. Everything you copy gets saved, along with which window it came from. No more copying the same thing four times because you overwrote it. | OCR and Translation with AI Learn more → | For the ugly stuff: a crooked phone photo of a pay stub, or a document that isn’t in English. It uses AI to read the text off the image, and it can translate it too. (Check your company’s rules before running borrower docs through any AI tool.) | Always on Top Learn more → | Pin the conditions list, the AUS findings or your calculator so it stays on top of the LOS while you work. One hotkey on, one hotkey off. | Toggle Between Monitors Learn more → | Throw any window to your other screen with a hotkey. Docs on the left, LOS on the right, no dragging windows around all day. |
| | Tip: Double-check every OCR’d number before it goes in the 1003. OCR saves the typing, but it isn’t perfect, and one wrong digit in income changes DTI. You still own the file. |
| | Conditions, Needs Lists and Follow-Up ✅ | Half the job is asking borrowers, LOs, HR departments and title for the same things, in the same words, over and over. | | Tool | What it does for you | Prompt Assistant Learn more → Lighter version → | Save your standard wording once: the large deposit LOE request, the “two most recent pay stubs, all pages” email, the VOE request to HR. Then drop any of it into Outlook, the borrower portal or your LOS notes with a hotkey, a short abbreviation or a right-click menu. | RemindMe Learn more → | One hotkey, type “Martinez lock expires, extend or close” and when. You get a pop-up on your PC, or an email that shows up even if your PC is off. Lock expirations, appraisal ETAs, VOE follow-ups: out of your head and on a reminder. | MailMergeDocs Try it → | One Word template plus a spreadsheet of borrower names and missing items gives you a folder of personalized needs-list letters as PDFs. Runs right in your browser. | Checklist Learn more → | Keep your pre-submission list (signed 1003, 4506-C, VVOE, HOI, title commitment) as a checklist you tick off, file by file. It records when each item was done, so you’re not guessing later. | Spell Check Everywhere Learn more → Autocorrect version → | Catches typos in borrower emails, LOE requests and LOS notes in every Windows program, not just Word. The autocorrect version fixes over 4,000 common misspellings as you type. |
| | Tip: Monday morning, run through your pipeline and set a RemindMe for every lock expiration and every outstanding VOE. Then stop carrying 40 files around in your head. ⚡ |
| | Guidelines and Borrower Privacy 🔒 | | Tool | What it does for you | SearchOnConcept Learn more → | Ask the Selling Guide PDF or your investor overlays a plain-English question, like “can gift funds cover reserves?”, and it jumps to the passage that looks like the answer, even when the guide uses different words. Runs on your own machine, on your own files. You still read the guideline; it just gets you to the right page. | Personal Info Scrubber Try it → | Want AI help rewording an LOE or a tricky borrower email? Strip the names, card numbers and emails out of the text first. It’s a helper, not a compliance program: your company’s NPI rules come first. |
| One thing I’ve learned: you don’t need to automate your whole desk this week. Pick ONE thing on this list that bugs you on every single file. Fix that. Then pick the next one. A few minutes back per file adds up fast when you’re carrying a full pipeline. That’s more time for the conditions that actually need your brain, and maybe leaving on time on a Friday. That’s the real FREEDOM. How about you? What’s the one piece of file busywork you’d love to never do by hand again? Drop me a note and tell me. I read every one. | | See All Our Tools | | the-Automator.com • Windows automation tools that give you your time back |
